This Privacy Policy explains how K. Warren Consulting Group LLC, doing business as ProServices AI ("we," "us," or "our"), collects, uses, shares, and protects information in connection with our website at proservicesai.com and our services (together, the "Service"). By using the Service, you agree to this Policy.
When you join our waitlist or contact us, we collect your name, email address, business or brand name, and anything else you choose to tell us. If you become a Client, we collect billing details (processed by our payment processor) and the information needed to set up your engagement.
With your authorization, we access and process the email and related account data in the accounts you ask us to manage, solely to operate the Service for you.
When you visit the Site, we and our hosting and analytics providers may collect basic technical information such as IP address, browser type, pages viewed, and referring page, used to operate and secure the Site.
We use information to respond to and schedule with you; set up, operate, monitor, and improve the Service for you; process payments; provide support; comply with legal obligations; and protect the security and integrity of the Service.
To provide the Service, your content is processed by artificial-intelligence tools (Anthropic's Claude). We do not use your content to train any AI model. Your content is isolated to your engagement and is not shared with or used for other clients. Anthropic processes data on our behalf as a service provider and not to train its models on your content.
ProServices AI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We access a client's Gmail only to operate the email-management Service the client has authorized: reading messages to classify them, applying or removing labels, and creating drafts. We never permanently delete a client's mail and never send mail on their behalf. We do not use Google user data to train any generalized AI model, do not transfer it except as needed to provide the Service (or as required by law), and do not allow humans to read it except with the client's consent, for security, or as required by law.
We do not sell your personal information. We share information only with service providers who help us deliver the Service, and only as needed, under confidentiality obligations. These include Cloudflare (website hosting and security), HubSpot (customer-relationship management and waitlist forms), Stripe (payment processing), Anthropic (AI processing), and your own email or workspace provider (for example, Google or Microsoft) for the accounts you authorize. We may also disclose information if required by law or to protect rights, safety, or the integrity of the Service. We do not sell or share your mobile number or SMS consent for third-party marketing.
We retain client data only as long as needed to provide the Service to you. We delete processed email content and operational logs within 30 days after your engagement ends or you revoke account access. Revoking access ends processing immediately, and you may request deletion of your data at any time. We may retain limited records, such as invoices, longer where required to meet legal, tax, or accounting obligations.
We use reasonable administrative, technical, and organizational measures designed to protect your information, including access controls and isolation of each client's data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of certain processing. To exercise any right, email admin@proservicesai.com and we will respond as required by applicable law. We will not discriminate against you for exercising these rights.
If you opt in to text messages, we use your mobile number only to send account and scheduling messages related to your engagement. Consent is not a condition of purchase. You can opt out at any time by replying STOP. We do not sell or share your mobile number or SMS consent for third-party marketing.
The Site uses only the cookies and similar technologies needed to operate it and to understand basic, aggregate usage. We do not use the Site to serve third-party advertising.
The Service is intended for adults and businesses. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
We operate in the United States, and your information is processed there. If you access the Service from outside the United States, you understand that your information will be processed in the United States.
We may update this Policy from time to time. We will post the updated version here and update the date above. Material changes affecting active Clients will be communicated where appropriate.
